Project Coordinator
The Project Coordinator plays a key role in supporting workplace initiatives, ensuring smooth planning and execution. This role collaborates closely with the Workplace Experience Program Manager, Offsite Planning Team, and leadership to enhance workplace operations and deliver exceptional offsite experiences.
Beyond offsite planning, responsibilities include project coordination, content management, and knowledge sharing. The Coordinator maintains key program resources, ensures accessibility of updated documents, and communicates relevant information to employees. The ideal candidate is highly organized, detail-oriented, and excels in communication and customer service.
Key Responsibilities
Employee & Stakeholder Support
- Serve as the primary contact for general inquiries about offsite programs and employee engagement initiatives.
- Manage offsite requests via ticketing systems, email, and trackers, ensuring timely responses and support.
- Coordinate vendor logistics, update resources, and track program details.
- Provide interim support for offsite logistics when needed.
Logistics & Program Operations
- Organize offsite logistics, including booking venues, drafting communications, and tracking action items.
- Conduct cost analyses to align location choices with budget constraints.
- Gather post-event feedback and compile insights to improve future planning.
- Assist with project coordination, documentation, and administrative support.
Administrative & Content Management
- Maintain key documents, templates, and process guides for stakeholder access.
- Audit and update resources to ensure accuracy and consistency.
- Track program performance through data management and reporting.
- Manage and update internal knowledge-sharing platforms.
Requirements
- Bachelor’s degree.
- 1+ years of experience in administration, workplace programs, event planning, or operations support.
- Strong organizational and project coordination skills.
- Excellent communication skills for engaging with employees, vendors, and stakeholders.
- Experience handling logistics for events, meetings, or workplace programs.
- Proficiency in Google Workspace, Slack, and project management tools (e.g., Asana, ServiceNow).
- Ability to multitask in a fast-paced environment with strong attention to detail.
Preferred Qualifications
- Experience in budget tracking or cost analysis.
- Familiarity with remote/hybrid workplace programs and employee engagement initiatives.
- Background in content management tools (e.g., Confluence, Notion).
- Experience supporting cross-functional teams in workplace operations.
